Tips on sending a release
A few easy rules on how to present your release if posting:
- Type on one side of the paper only, with large margins.
- Date the release in full either at the end or at the top.
- Ensure that it is clear who and where the release has come from. Give at least one contact name, with day and evening phone numbers. Make sure the contact will be available when the release reaches the media.
If sending news by email:
News releases via e-mail are completely acceptable. However, it is best to check with individual newspapers or even individual contacts how they prefer to receive material.
In general:
- Beware e-mail attachments with logos or other graphics. These may be stripped out, or your whole attachment may be eliminated by e-mail filters. In many cases, it will be better to “cut-and-paste” your news release into the body of your e-mail.
- If you want to send photographs or graphics, check before doing so, send them as separate attachments and send a covering e-mail explaining that you are doing so. Do not send big files by e-mail without checking with the publication first.
- Check how big your photograph file is. Do not send anything over 1 MB unless the publication has asked for it. Better to send a small file first.
